Our system is 100% web-based so you can access your records anytime, anywhere, and on any device. We have a desktop web portal along with a mobile app for both iOS and Android making it extremely easy to manage your fleet with multiple people inputing data. Once you are logged into the web portal or app, you can review all the features with tutorial videos below for assistance. To create a free account, you can either use our web portal or download the mobile app for iOS or Android and sign up there. IMPORTANT: If your a user part of a team, be sure to create an account with the same email address that your administrator has assigned in AUTOsist. Please check with your administrator/Manager/Boss to confirm otherwise you will not see the vehicles/assets assigned to you. The first step to start managing your fleet will be to add vehicles or other assets to your account. If you don’t see a vehicle/asset in our database simply put the type as “Other” and you will be able to manually add anything you want to track. In addition, if you need any custom fields you can contact us and we can add them for you. If you have a large amount of data to input, we can import the data for you via excel so you don’t have to do it manually. Adding folders to the garage section will help organize your vehicles and other assets. Simply click on the “Add Folder” icon below the “Add Vehicle” button to start adding folders. See the tutorial video below on how to add folders to your garage:
There are 6 main sections where you can add data to your vehicles/assets: Service, Fuel, Reminders, Glovebox, Notes, and Inspections. Every vehicle/asset will have its own unique set of records and you will be able to upload receipts or documents to each record via the web portal or by taking a picture using our app for your mobile device. You can set up reminders based on date and/or odometer with recurring intervals. You will get a push notification on any device the mobile app is installed as well as an email reminder. In addition, you can assign multiple users to each vehicle/asset and also have reminder notifications come to them.
Because we are not connected to your vehicle/asset, we have a few different ways we estimate your current odometer reading to send reminders based on odometer. Please see the tutorial video below on how this all works along with an overview of the reminders feature:
Easily create work orders and notify your users to ensure tasks are completed.
You can assign multiple users to vehicles/assets with permission control. Each user will get their own reminders sent to them via email as well as push notifications where the mobile app is installed. See the tutorial video below on how this works. Please note that the section has been renamed to “User Assignments” instead of fleet management dashboard.
You can create your own custom checklist and have your vehicle/asset inspections managed via our system. If any inspection item is marked not in proper working order, you will get an email notification alerting you. In addition, you and your team can attach pictures, documents, and other information onto the inspection for reference. See the tutorial video below on how this works:
Track parts and keep inventory counts. Get alerts when things are running low in your stock.
Run various reports regarding your fleet to give you valuable information such as how much you are spending on maintenance and fuel.
You can export your data to excel as well as export all your receipts/documents for extra back up. You have the option to export data for a single vehicle/asset or your entire fleet. The tutorial video below shows you how this is done:
